Login

To log into the Penn Cutaneous Pathology Services (PCPS) application:

  1. Access the Log In page.
  2. Enter your User Name and Password in the fields provided.
  3. Click the Log In button.

If you have forgotten your password:

  1. Click the Forgot your password? hyperlink.
  2. On the Password Reset page, enter or select the following information:
  • User Name
  • Email Address
  • Security Question
  • Security Answer
  1. Click the Reset Password button.

    Your password is reset and you are returned to the Log In page.


Return To Search Results

To return to the search results page from any other page:

  1. Click on the Return to Dermopathology Results hyperlink in the upper left corner of the page.
  2. The search results will load and appear on the Dermopathology Results page.


Search

There are three distinct types of searches available from the Penn Cutaneous Pathology Services (PCPS) application:

  1. Simple search
  2. Advanced search
  3. Saved search


Simple Search

You can use a simple search to find one or more records by patient name. To perform a simple search:

  1. Enter all or part of the name of one or more patients into the Name field under Searches in the left-hand sidebar.
  2. Click the Search button.
  3. Based on your entry in the Name field, all matching records are displayed in the Search Results grid in the main section of the page.
  4. To discard the search results and perform a new simple search, click the Clear Results hyperlink under Searches in the left-hand sidebar.


Advanced Search

You can use an advanced search to find one or more records by patient name and/or other criteria. To perform an advanced search:

  1. Click the Advanced Search hyperlink under Searches in the left-hand sidebar.
  2. Enter one of more of the following criteria into the respective Advanced Search fields:
  • First Name
  • Last Name
  • Accession
  • Date Of Birth*
  1. If you are using the Date Options fields as part of your advanced search, do one of the following:
  • Select Date Range in the Date Options field and enter appropriate dates into the Date From* and Date To* fields

    - OR -

  • Select Other Date Options in the Date Options field and select one of the following radio buttons:
    • Today
    • Last ... days (enter a number into the field provided)
    • Last ... weeks (enter a number into the field provided)
    • Last ... months (enter a number into the field provided)
  1. Click the Search button.
  2. Based on your entries, all matching records are displayed in the Search Results grid in the main section of the page.
  3. To discard the search results and perform a new advanced search, click the Clear Results hyperlink under Searches in the left-hand sidebar.
  4. To perform a simple search instead, click the Simple hyperlink under Searches in the left-hand sidebar.

* - To enter a value in any date field, click into the field and use its calendar feature or type a date formatted as MM/DD/YYYY.


Saved Search

You can create a simple or advanced search for one or more patient records and save the search for repeated future use.

To save a search:

  1. Run a simple or advanced search.
  2. Click the Save Search As... hyperlink at the top right of the Search Results grid.
  3. Do one of the following in the Save Search As window:
  • Enter a name for the search in the Search Name field and click the Save button to save the search.

    - OR -

  • Click the Cancel button to return to the search results without saving the search.

To run a saved search:

  1. Click the All Searches hyperlink under Searches in the left-hand sidebar.
  2. Find the name of the desired previously-saved search in the Saved Searches list in the main section of the page.
  3. Click the saved search's hyperlink to run the saved search.


Search Results

The Search Results page displays current patient records. The specific records displayed depend on business activity and your profile within the Penn Cutaneous Pathology Services (PCPS) application.

Upon login to the application, all records which you are authorized to view are shown. You can then search for specific records.


Search Results Grid

The Search Results grid displays patient records in a specific format. By default, the following columns are shown from left to right on the page for each record:

  • Accession
  • First Name
  • Last Name
  • Diagnosis
  • Biopsy Date
  • PDF icons (Show, Email and Fax)
  • Print checkbox
  • Archive checkbox

A maximum of twenty records are displayed on a page. Additional records are displayed on additional pages which can be accessed using the navigation buttons at the bottom of the Search Results grid.


View PDF of Pathology Report

To view a PDF document associated with an patient record in the Search Results grid:

  1. Find the patient record in which you are interested.
  2. Click on its Show PDF icon.
  3. The record's PDF document is opened in a separate Adobe Acrobat PDF window.


Email PDF of Pathology Report

To email a PDF document associated with a patient record in the Search Results grid:

  1. Find the patient record in which you are interested.
  2. Click on its Email PDF icon.
  3. On the Email PDF window, do one of the following:
  • Enter one or more email addresses into the To field, type your message in the Message field and click the Send button to send the PDF document as an email attachment.

    - OR -
  • Click the Cancel button to return to the Search Results grid without emailing the PDF document.


Fax PDF of Pathology Report

To fax a copy of a PDF document associated with a patient record in the Search Results grid:

  1. Find the patient record in which you are interested.
  2. Click on its Fax PDF icon.
  3. On the Fax PDF window, do one of the following:
  • Enter a fax number into the To field and click the Send button to fax the PDF document to your intended recipient.

    - OR -
  • Click the Cancel button to return to the Search Results grid without faxing the PDF document.

Print Pathology Report

To print one or more individual records:

  1. Find the patient record(s) in which you are interested.
  2. Select its/their Print checkbox(es).
  3. Click the Print hyperlink in the upper right corner of the Search Results grid.

To print all records shown on a page:

  1. Click the Print All hyperlink header in the Search Results grid (this auto-selects the Print checkboxes of all records on the page).
  2. Click the Print hyperlink in the upper right corner of the Search Results grid.

Archive Pathology Report

To archive one or more individual records:

  1. Find the patient record(s) in which you are interested.
  2. Select its/their Archive checkbox(es).
  3. Click the Archive hyperlink in the upper right corner of the Search Results grid.

To archive all records shown on a page:

  1. Click the Archive All hyperlink header in the Search Results grid (this auto-selects the Archive checkboxes of all records on the page).
  2. Click the Archive hyperlink in the upper right corner of the Search Results grid.

Saving Searches

To save a search for future reuse:

  1. Run either a Simple, Advanced or Saved search.
  2. Click the Save Search As... hyperlink in the upper right corner of the Search Results grid.
  3. In the Save Search As window, do one of the following:
  • Enter a name for the search into the Search Name field and click the Save button to save the search for future reuse.

    - OR -

  • Click the Cancel button to return to the Search Results grid without saving the search.

Alert History

To view your alert history in the Penn Cutaneous Pathology Services (PCPS) application:

  1. Click the Alert History hyperlink in the Alerts section of the left-hand sidebar.
  2. On the Alert History page, find the specific alert(s) in which you are interested and click on one of them at a time to view them.

Send a New Message

To create and send a new message to the Call Center:

  1. Click the Send a new Message hyperlink in the Messages section of the left-hand sidebar.
  2. On the Compose New Message page, enter the message subject into the Subject field and type your message into the Message field.
  3. Click the Send Message button. Your message will be sent to the Call Center via email.

View Your Messages

To view your "inbox" of messages that other Penn Cutaneous Pathology Services (PCPS) application users have sent to you:

  1. Click the Messages hyperlink in the Messages section of the left-hand sidebar.
  2. On the Messages - INBOX page, find the specific message(s) in which you are interested and click on one of them at a time to view them.

To refresh the list of messages currently in your inbox, click the Refresh Messages hyperlink in the upper right corner of the Messages - INBOX page.


View Archived Results

To view search results which you have archived in the Penn Cutaneous Pathology Services (PCPS) application:

  1. Click the Archived Results hyperlink under Archived Results in the left-hand sidebar.
  2. View the results in the Archived Results grid.
  3. If necessary, above the Archived Results grid, use the Date Options fields to do one of the following:
  • Select Date Range in the Date Options field and enter appropriate dates into the Date From* and Date To* fields

    - OR -

  • Select Other Date Options in the Date Options field and select one of the following radio buttons:
    • Today
    • Last ... days (enter a number into the field provided)
    • Last ... weeks (enter a number into the field provided)
    • Last ... months (enter a number into the field provided)
  1. Click the Search button.
  2. Based on your entries, all matching records are displayed in the Archived Results grid in the main section of the page.

* - To enter a value in any date field, click into the field and use its calendar feature or type a date formatted as MM/DD/YYYY.


View PDF of Archived Pathology Report

To view a PDF document associated with an archived patient record in the Archived Results grid:

  1. Find the archived patient record in which you are interested.
  2. Click on its Show PDF icon.
  3. The archived record's PDF document is opened in a separate Adobe Acrobat PDF window.

Email PDF of Archived Pathology Report

To email a PDF document associated with an archived patient record in the Archived Results grid:

  1. Find the archived patient record in which you are interested.
  2. Click on its Email PDF icon.
  3. On the Email PDF window, do one of the following:
  • Enter one or more email addresses into the To field, type your message in the Message field and click the Send button to send the PDF document as an email attachment.

    - OR -
  • Click the Cancel button to return to the Archived Results grid without emailing the PDF document.

Fax PDF of Archived Pathology Report

To fax a copy of a PDF document associated with an archived patient record in the Archived Results grid:

  1. Find the archived patient record in which you are interested.
  2. Click on its Fax PDF icon.
  3. On the Fax PDF window, do one of the following:
  • Enter a fax number into the To field and click the Send button to fax the PDF document to your intended recipient.

    - OR -
  • Click the Cancel button to return to the Search Results grid without faxing the PDF document.

Change Password

To change your password for the Penn Cutaneous Pathology Services (PCPS) application:

  1. Click the Change Security hyperlink in the Settings section of the left-hand sidebar.
  2. In the Change Password section of the page, note your User Name and enter information into the following fields:
  • Old Password (enter your current password)
  • New Password*
  • Confirm New Password*
  1. Do one of the following:
  • Click the Change Password button to change your password.

    - OR -

  • Click the Cancel Changes button to reset all fields and avoid changing your password.

* - Read the instructions regarding password requirements before attempting to create a new password.


Change Security Question

To change your security question for the Penn Cutaneous Pathology Services (PCPS) application:

  1. Click the Change Security hyperlink in the Settings section of the left-hand sidebar.
  2. In the Change Security section of the page, select/enter information into the following fields:
  • Security Question (select a question)
  • Security Answer
  1. Do one of the following:
  • Click the Save Changes button to change your security question.



    - OR -



  • Click the Cancel Changes button to reset all fields and avoid changing your security question.

Change Contact Information

To change your contact information stored in the Penn Cutaneous Pathology Services (PCPS) application:

  1. Click the Change Contact Info hyperlink in the Settings section of the left-hand sidebar.
  2. On the Contact Information page, note your User Name, Last Name and First Name and enter information into the following fields:
  • Address (enter your street address and/or suite number or P.O. Box)
  • City
  • State
  • Zip
  • Email (Address)
  • Fax (Number)
  1. Do one of the following:
  • Click the Save Changes button to change your contact information.



    - OR -



  • Click the Cancel Changes button to reset all fields and avoid changing your contact information.

Change Search Column Settings

To change the columns which appear in any search results and/or the order in which the visible columns appear from left to right in the Search Results grid:

  1. Click the Search Columns hyperlink in the Settings section of the left-hand sidebar.
  2. On the Search Column Settings page, do one or more of the following until the Search Columns table to the right appears as desired:
  • To remove a specific column from the Search Columns, select it in the Search Columns table and click the <Remove button (the selected column will appear in the Available Search Columns table).
  • To add a specific column to the Search Columns, select it in the Available Search Columns table and click the Add> button (the selected column will appear in the Search Columns table).
  • To change the order of the Search Columns from left to right in any Search Results grid (which corresponds to top to bottom in the Search Columns table on the Search Column Settings page), select a value in the Search Columns table and click the Up or Down button to reorder its sequence.
  1. Do one of the following:
  • Click the Save Changes button to save your changes to search column settings.



    - OR -



  • Click the Cancel Changes button to avoid changing search column settings.

Logout

To log out from the Penn Cutaneous Pathology Services (PCPS) application (from any page):

  • Click the Log Out hyperlink in the upper-right corner.

  • You are logged out of the application and are returned to the Log In page.
